Title: Administrator
Position: Full time
Location: Favona, Auckland New Zealand.
Closing Date: 5:00 pm on 31st January 2022.
Purpose
We are looking for a responsible Administrator to support the Manager and Treasurer on maintaining the financial records and administration systems of the organisation. Other tasks include maintaining the office administration, supporting the service team with their operational resourcing, maintaining communications with service users, providers, funders, the board, coordinating enquiries, completing general office administration duties, coordinating the maintenance of service resources and equipment, and ensuring that tasks are completed to a high standard and within a timely manner. Our ideal candidate has experience as an Office Administrator, Secretary or relevant administrative role. You should also be familiar with office software (e.g., MS Office), including word processors, spreadsheets and presentations. Ultimately, a successful Administrator should be able to ensure our office procedures run smoothly.
Responsibilities
- Communications to all staff and internal and external stakeholders are clear, concise and timely.
- Book and schedule meetings and events and familiarise with Zoom technology.
- Order office stationery, necessary equipment and kitchen supplies (including stock management)
- Liaise with regular service providers as necessary e.g accountant, cleaners, repair services, etc
- Maintain internal databases
- Keep employee records (physical and digital)
- Maintain a filing system for data on customers and external partners
- Distribute incoming and outgoing mail
- Organise, store and print company documents as needed
- Answer and redirect phone calls
- Make travel arrangements
- Handle queries from managers and employees
- Monitor stock management of office supplies and ensure that stock levels are effectively maintained.
- Provide monthly reports to the Treasurer on fleet vehicle management, stationery orders and general office management.
- Complete any additional tasks requested by the General Manager
Requirements
- Proven experience as an Administrator, Administrative Assistant or relevant role
- Familiarity with office equipment, including printers and fax machines
- Knowledge of office policies and procedures
- Experience with office management tools (MS Office software, in particular)
- Excellent organisational and time-management skills
- Excellent written and oral communication skills
- Familiarise with Zoom technology and monitoring a zoom account
- Ability to take initiative and to show flexibility and adaptability
- Able to learn and put into proactive new skills and knowledge
- Able to work as part of a team and without supervision
- Can speak fluently both English and Tongan
- Problem-solving attitude with an eye for detail
- NCEA Level 3 or Higher education
